Personal Data Protection Policy (GDPR)
PRIVACY STATEMENT
1.- What categories of personal data we need:
The “Personal Data Protection Policy” of our Municipality is in accordance with Regulation 2016/679/EU “General Data Protection Regulation” (GDPR) and regulates the processing of your data. You can view this at the following link https://www.glyfada.gr/index.php/home/page/gdpr
The Municipality of Glyfada processes personal data that you provide to us or in some cases that it obtains from other sources in order to fulfil its statutory responsibilities and duties. Our Municipality collects the following categories of data from you:
– First name, surname, father’s first and last name, mother’s first and last name, mobile phone, landline phone, home/work address, city, postcode, work phone, e-mail address.
– Identity card number, date of birth, place of birth, national origin, tax registration number (F.I.N.), tax office, social security number (AMKA), social security number, insurance institution details, citizenship, nationality, official data from the Civil Registry, marital status, type of insurance, old-age pension, military service details, professional status, assets.
– First name, surname, patronymic, maiden name, date of birth, place of birth, address of residence, data concerning custody of persons, class and school of attendance, religion, nationality, health data of minors.
– Bank account number, credit institution details, unemployment card number, unemployment booklet number, tax clearance details.
– Patient’s medical history, physical health data, mental/mental health data, illness, dysfunction (disabled), clinical treatment – medication data, disability report, health booklet, medical prescriptions.
– Name and registered office of a sole proprietorship, name, surname of the legal representative of legal entities, telephone number, e-mail address, tax registration number (VAT number), tax office, identity card number, details of tax returns and income tax returns, insurance and tax information for sole proprietorships.
– Civil status facts, family status data.
– Data of property titles, CICs, water supply data, electricity supply data, data of fees and contributions related to the property, data of leases and personal data of tenants, lessors
– Information on court decisions, administrative sanctions, criminal record.
– Image of faces
– IP addresses, geolocation data
2.- Why we need them:
We need your personal data to fulfil the following lawful purposes:
– to examine, process or transmit your applications and to inform you about the progress of your application
– for the issue of certificates or attestations for which the Municipality is competent
– for the processing of correspondence of the Municipality
– for the submission of complaints
– for the keeping of minutes and the adoption of decisions of the collective and individual bodies of the Municipality.
– for record keeping, where this is provided for by law (e.g. civil registry, municipal status records, etc.)
– for the representation of the Municipality, its elected bodies and employees before the judicial and administrative authorities
– for the preparation of opinions for the administrative courts in support of administrative acts against which natural or legal persons bring an action
– for the collection of fees, contributions, all kinds of municipal revenues and fines
– for the drawing up and issuing of certificates
– for the examination of appeals and objections relating to statements of amounts due from any cause
– for the payment of fees, contractor’s fees, contractor’s compensation, rent and payments of all kinds in general
– for the completion of the water supply and sewerage installation process
– for the processing of the participation of candidate contractors in calls for tender and for the completion of tendering procedures and the drawing up of contracts with contractors for supplies, services and works
– for processing the participation of prospective tenants or lessors in tenders for the lease or rental of immovable or movable property and for the completion of the tendering procedures and the drawing up of lease or rental contracts
– to ensure the proper functioning of the municipal cemeteries
– to ensure the proper functioning of the municipal marinas
– for checking the conditions for the operation of shops of sanitary interest, open-air markets, fairs, gymnasiums and sports facilities, crèches
– for the registration of civil status and events affecting the municipal situation
for the verification of the fulfilment of the conditions for the issue of administrative authorisations concerning building
– for the control and restriction of arbitrary building and the imposition of the relevant administrative fines
– for the preparation and approval of General Urban Plans, town and country plans and general spatial planning
– for the completion of expropriation procedures of real estate for the purposes of the Municipality
– for the processing of applications for membership of social welfare programmes
– for the verification of the conditions for the granting of social benefits
– to verify the existence of conditions for the inclusion of vulnerable social groups in municipal welfare programmes or structures.
– to ensure the proper functioning of the city’s schools and kindergartens
– for your participation in cultural, sporting, festive, etc. events organised by the Municipality in the context of its duties
– for the fulfilment of the duties of the Municipal Police
– on compliance with legislation on stray animals and companion animals
– for the removal of abandoned vehicles
– for the preparation and implementation of civil protection plans
– for the organisation of the waste collection plan and the general operation of the Cleaning Service
– for the maintenance and extension of green areas
– for the handling of citizens’ cases through the Citizen Service Centres
– for the maintenance of the Municipality’s website
– for the maintenance and operation of the electronic monitoring and reporting applications of the Municipality (FixMyCity, FixMySchool etc.)
– for the communication of the Municipality with you and to inform you about the actions of the Municipality
– for the safety of municipal premises and persons working or being in them
3.- Where we process them:
We process your personal data at the headquarters of our Municipality located in Glyfada, Attica, 15 Alsos Street, P.C. 16675, as well as at the premises of the Cleaning Service, 3 Panagouli Street, Glyfada Attica, at the premises of the Technical Service, 26 Diadochou Pavlou Street, Glyfada Attica, at the premises of the Social Service, 34 Karaiskaki Street, Glyfada Attica and at the premises of the Municipality of Glyfada (62 G. Gennimata Street and 42 Diadochou Pavlou Street). The processing and storage of your personal data is carried out by the Municipality itself at the Municipal Hall or at its other facilities, in physical or electronic form. Also, the data collected through the electronic services of the Municipality are stored in the cloud of the company called “TH. and the distinctive title “POINTER” with headquarters at 13-15 I. Polemi, Thessaloniki, P.C. 54248.
Personal data may be transferred, if required for the fulfilment of the legal obligations of the Municipality or the execution of its responsibilities, indicatively and not restrictively, to:
– citizens, complainants, complainants, complainants, applicants
– members of the collective bodies of the Municipality
– Judicial Authorities, Prosecuting Authorities, Police Authorities, Fire Brigade, Port Authority, Health Services, Inspector General of Public Administration, auditing authorities in general with responsibility for the control of local authorities.

– Commissioner’s Office in the Municipality of Kallithea, EADESY, KIMDES Court of Auditors
– DIAYGEIA, Government Gazette, Newspapers
– AADE, EFKA, OAED, General Accounting Office of the State
– E.I.D.E.P., D.E.E.E. or other alternative electricity providers
– Ministry of Interior, Ministry of Infrastructure and Transport, Ministry of Justice, Transparency and Human Rights, Ministry of Education, Research and Religious Affairs, Ministry of Labour, Social Security and Solidarity
– Managing Authorities of Operational Programmes
– Credit institutions
Your personal data is not transferred outside of Greece.
4.- How long do we keep them?
According to the provisions of Article 9 of PD 480/1985 “Clearance of the records of the local authorities and the institutions of public bodies and their associations”, all the services of the local authorities have the obligation to keep their records according to the type of document for a certain period of time and to carry out a periodic clearance of their records within the first quarter of the year.
The Municipality retains the personal data it processes for as long as the applicable legislation provides. In particular and indicatively:
– Applications and supporting documents submitted to the Municipality’s protocol or the Citizen Service Centres (CSC) are kept for up to two (2) years after the case is processed and then destroyed.
Internal correspondence, transmittals and documents of daily use that do not have legal consequences shall not be retained for more than two (2) years.
– Contracts for works, supplies or services concluded by the Municipality with third party contractors and all data in the file are kept for a period of up to ten (10) years after the completion of the project or until the limitation of the relevant claims.
– Documents and personal data of legal cases are retained for a period of up to ten (10) years after the conclusion of the litigation.
– Electoral rolls are kept until they are replaced.
– Decisions on debt settlements are retained for a period of up to twenty (20) years after the end of the respective fiscal year.
– Documents relating to the organization and operation of the Municipality, such as minutes and decisions of the Municipal Council, decisions of financial committees, are kept in perpetuity.
– Certified and collected revenues shall be retained for a period of up to five (5) years from the end of the respective fiscal year.
– Charging acts shall be retained for a period of up to five (5) years from the end of the respective fiscal year.
– Lists of indigent persons are kept for a period of up to five (5) years from their establishment.
– Project/procurement/building plans are retained for a period of up to twenty (20) years.
– Licences to operate shops, businesses, crèches, nurseries, sports facilities, etc., are maintained in perpetuity.
– The Civil Registry, the Register of Citizens, the Register of Boys, the family portions and in general all personal data necessary for the maintenance of the books of the Municipal Register and the Registry, are kept in perpetuity.
– Building permits and building permits maintained in perpetuity
– The image of persons recorded by the video surveillance system shall be retained for fifteen (15) days.
5.- What are your rights?
If you believe that any of your personal data that we hold is incorrect or incomplete, you have the option to request to see this information, correct it or delete it. You also have the option to request the transfer of your data to persons you indicate to us. For more information about your rights, you can refer to our Municipality’s “Privacy Policy”. Please if you wish to exercise any of your rights, please contact us via the “Data Subject Access Request Form”.
In case you wish to receive clarifications regarding our handling of your personal data, please contact the Data Protection Officer of our Municipality by email: dpo@glyfada.gr or in writing by post to the address: 15 Alsos, Glyfada Attica, P.O. Box 16675. The Data Protection Officer of our Municipality will deal with your request and will attempt, in cooperation with us, to provide a solution to any problem you may have.
If in this case you believe that we are not handling your personal data in accordance with the law, please contact the Greek Data Protection Authority.
